Arena and Gallop Hire
These terms apply to all bookings at PANT WILKIN EQUESTRIAN CENTRE (hereafter referred to as PWEC) and must be agreed to by the hirer prior to any event or hire.
- All visitors agree to pay in advance via the booking system.
- Placing a booking implies you have accepted the Terms and Conditions.
- PWEC reserve the right to refuse entries on the premises.
- PWEC reserve the right to close the facilities at short notice and cancel appointments. In that case, a refund will be issued to all cancelled appointments.
- All visitors agree to leave an emergency contact detail through the online booking system.
- PWEC will not accept liability for any loss or damage occurring to your belongings including your horse and vehicle.
- Any accident must be reported to any member of staff present or failing that through phone call to the office 01446 771626.
- We operate a strict no dogs policy.
- People under 18 must be accompanied by an adult at all times.
- All visitors must park their vehicle on the hard-standing area designated on the site map.
- All unaffiliated events are run under the guidance of affiliated rules – BS (British Showjumping),BD (British Dressage) & BE (British Eventing). Further information is available through governing bodies.
- Horses are not to be tied to the outside of horse boxes at any time and there is to be absolutely no hay nets, please clear up any mess.
- All droppings must be cleared from the arena and standing areas before departure. Any droppings left in the arena after the hire will incur a £10 charge.
- PWEC reserve the right to halt any actions which we consider to be contrary to our Health and Safety policy or which we consider to be unsafe.
- All clients and guests and customers are required to adhere to commonly accepted standards of decency and good behaviour. Animal misuse, racial abuse, discrimination, swearing and loud or aggressive conduct will not be tolerated. We reserve the right to ask any person on the premises to leave immediately. We reserve the right to refuse admission to any persons without giving reason.
- To ensure the arena surface remains in the best possible condition we ask that:
- Under no circumstances are horses to be let loose, lunged or loose schooled in the arenas.
- No hay/haylage/animal or human feed stuff to be taken into the arenas
- We ask that horses are refrained from being tied in the arena and are never left unsupervised.
- Hirers must stick to allocated time slot, so they do not interfere with any other bookings.
- No Smoking in arenas or stables.
- Before using PWEC Equestrian Facilities you must ensure that you have adequate insurance for you and your horse.
- Use of the arenas & gallop is at hirers risk. All hirers are advised to check arena and equipment before entering to ensure that it has been left in a safe condition by the previous occupant.
- Please return any equipment used back to its storage area after use unless already set up prior to hire or you have permission from PWEC to leave out.
- Breakages of Equipment: All equipment breakages are the responsibility of the hirer or rider and will be charged for. All breakages must be reported to the PWEC Office.
- We require any person or organisation hiring our facilities to ensure the appropriate risk assessments are carried out, and documented, in accordance with current Health and Safety standards.
- We require any person or organisation hiring our facilities to be responsible for first aid cover for the duration of their event. This is mandatory for anyone hiring PWEC Facilities. PWEC does not provide any first aid cover.
- All areas hired are to be left clean and tidy. All droppings to be immediately removed and placed in muck bins provided. No mucking out onto lorry park. Litter is to be taken home or disposed of in bins.
- All instructors using PWEC facilities must have their own insurance cover.
- Riding Hats, with a correctly fitted chin strap, to current British Standard Skull Caps/Riding Hats Nos PAS015, EN1384 (USA) ASTMF1163 which meet current Safety Standards MUST be worn at all times when mounted (and is advised at all other times whilst handling horses), NO EXCEPTIONS UNDER ANY CIRCUMSTANCES.
- Only suitable footwear should be worn when riding. Body protectors are highly recommended especially when jumping.
- Responsibility and Control: Neither PWEC or any of its staff shall in any way be responsible for any loss, injury or damages that may happen to the hirer or assistants or other members of the public, or to any animal or property or to any vehicle brought into PWEC or while entering or leaving the venue.
- Due to circumstances beyond PWEC control it may be necessary to change or cancel bookings. Where the change is considered major as decided by PWEC you will be offered the option to accept the change or to receive a full refund of any monies paid against the booking. PWEC is not responsible for any other costs, expenses or damages which may have been incurred by the client or their guest as a result of the change.
- Cancellation: You can cancel booking of less than 3 hours and will receive a full refund, minus the credit card transaction fees, as long as you cancel the booking a minimum of 48 hrs in advance. Cancellations made with less than 48 hours’ notice will attract a 50% booking fee, unless we can rearrange our bookings.
- Cancellation: You can cancel booking of more than 3 hours and will receive a 50% refund, minus the credit card transaction fees, as long as you cancel the booking a minimum of 48 hrs in advance. Cancellations made less with less than 48 hours’ notice will attract a 100% booking fee, unless we can rearrange our bookings.
Equine Influenza Vaccination Policy
- Flu vaccinations and certificates are mandatory for all horses and ponies entering the venue. Spot passport checks will be regularly carried out., PWEC accept horses on a 12-month vaccination schedule. Please note – all horses must wait 7 days after any vaccination before visiting PWEC.
COVID-19 HEALTH AND SAFETY POLICY AND RULES
All bookings and payments are to be made through our on-line booking system through our website www.pantwilkinequestrian.com.
The following procedures and rules have been put in place:
DO NOT ATTEND THE SITE IF YOU OR ANY OF THOSE TRAVELLING WITH YOU ARE EXHIBITING ANY SYMPTONS OF BEING UNWELL.
- Park in the designated lorry park for “Gallop and Arena Hire”.
- All areas apart from the Gallops and Arenas are ‘Out of Bounds’.
- No toilet facilities are available.
- Please bring adequate provisions of food and water for humans and horses, none will be available on site.
- No spectators are allowed on site, only essential helpers.
- You must follow current Welsh Government guidelines.
- You must maintain social distancing and hygiene practices.
- Strict timekeeping must be adhered to.
- You must consider the risk of your activity and ride your horse in the areas safe to do so within your capabilities and fitness levels for you and your horse.
